What personal data we collect and why we collect it

If you provide us with your email address in a sign-up box or by sending in a Contact or Question Form, we save your name, email and other contact information that you provided. We process your information in order to provide a service that you’ve requested. We retain this information in order to build relationships with our visitors and to improve our services and site.

When you visit our site, our servers automatically record information that your browser sends whenever you visit a website (“log data”). This data may include information such as your IP address, browser type or the domain from which you are visiting, the web pages you visit, the search terms you enter and links you click.

We use cookies to optimise our site, and so that we and third parties can show you more relevant ads, including on other websites. By clicking “ok” you agree to our cookies policy.

Links to other sites (including YouTube links) are outside our control and ownership. If you click a link to a partner organisation site, your visit is controlled by their privacy policy.

We use Mailchimp for our newsletters (in partnership with the HELP Fund) and Mailchimp will collect other data from subscribers. We use Google Analytics to track traffic on this site, with certain data collected automatically through your browser.

The types of information we collect depends upon the services you use, how you use them and what you choose to provide to us.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When you fill in a contact form, you provide us with your email address and any other contact information you choose to share. If you ask to fill in any Grant Application forms, we retain all the information you choose to provide within our organisation.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use Google Analytics on our website. We do not share any data with remarketing / advertising (Google Ads) accounts.

Who we share your data with

We do not share any of your information with anyone/company outside our organisation, unless we have your specific permission or we have anonymised your information (Google Analytics).

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service. We do not share your data with anyone/company outside our organisation.

Your contact information

We do not share or sell your contact information. If you make a donation, we share your information with trusted third party services only to process your donation.

Additional information

How we protect your data

Records containing personal information are stored in a secure database that is accessible only to our Executive Board and only to a limited number of trusted, relevant personnel. Personal information is deleted when no longer needed or required.

If you are located in certain parts of the world, including California and countries that fall under the scope of the European General Data Protection Regulation (“GDPR”), you may have certain rights regarding your personal information, like the right to request access to or deletion of your data.

 

European General Data Protection Regulation (GDPR)

If you are located in a country that falls under the scope of the GDPR, data protection laws give you certain rights with respect to your personal data, subject to any exemptions provided by the law, including the rights to:

  • Request access to your personal data;
  • Request correction or deletion of your personal data;
  • Object to our use and processing of your personal data;
  • Request that we limit our use and processing of your personal data; and
  • Request portability of your personal data.
  • You also have the right to make a complaint to a government supervisory authority.

 

California Consumer Privacy Act (CCPA)

The California Consumer Privacy Act (“CCPA”) requires us to provide California residents with some additional information about the categories of personal information we collect and share, where we get that personal information, and how and why we use it. The CCPA also requires us to provide a list of the “categories” of personal information we collect, as that term is defined in the law, so, here it is. In the last 12 months, we collected the following categories of personal information from California residents, depending on the Services used:

  • Identifiers (like your name, contact information, and device and online identifiers);
  • Commercial information (your billing information and donation history, for example);
  • Characteristics protected by law (for example, you might provide your gender as part of a research survey for us);
  • Internet or other electronic network activity information (such as your usage of pages or navigation);
  • Geolocation data (such as your location based on your IP address);
  • Audio, electronic, visual or similar information (such as an image you share on a blogpost comment);
  • Professional or employment-related information (for example, your company and team information if you apply to volunteer); and
  • Inferences we make (such as likelihood of retention or attrition).

If you are a California resident, you have additional rights under the CCPA, subject to any exemptions provided by the law, including the right to:

  • Request to know the categories of personal information we collect, the categories of business or commercial purpose for collecting and using it, the categories of sources from which the information came, the categories of third parties we share it with, and the specific pieces of information we collect about you;
  • Request deletion of personal information we collect or maintain;
  • Not receive discriminatory treatment for exercising your rights under the CCPA.

We do not sell your data to anyone, however, if you make use of any third-party services or links on our site, your data use is governed by that site’s cookie and privacy policy.
